The UPGRADE Retreat, 23-25 April 2024, Champneys Spa, Bedfordshire

By making payment, you are agreeing to the following terms and conditions. Please read thoroughly and let me know if you have any questions or concerns before making payment.

Charges

The cost of The Retreat is discounted to £1595 if paid in full or £1695 in instalments. When you pay in full you'll also receive a bonus free headshot

Inclusions

You’ll enjoy 2 nights accommodation in a standard, sole occupancy bedroom– arriving 11am on 23rd April and departing 6pm on 25th April - at Champney’s Henlow Grange Health Spa. The final couple of hours on the 25th are spa/connection time, so if you needed to leave earlier that day, you wouldn’t miss any “content” as such.

We reserve the right to change the venue (we have no intention of doing so, this is simply reflecting potentially unknown circumstances. If we do so, it will be to a matched standard/facilities/location as possible)

All meals and refreshments during our stay, from 11am on arrival to 6pm on departure: (ie lunch and dinner on day 1, breakfast, lunch, dinner day 2, breakfast and lunch day 3) Some food items are plus a supplement (eg steak, additional sides, hot breakfast) and can be ordered and paid for directly, as required. Additional drinks, outside of those provided in the meeting room, are not included – so for example, soft drinks with meals or wine with dinner etc is at your own cost, as is any spa treatments

Agenda

The full Agenda will be put together in due course, and we’ll use the responses collected in your onboarding questionnaire (which you’ll receive once confirmed) to ensure that The Retreat meets your needs and expectations to the best of our ability. We’ll obviously build in some time so that you can make use of the spa facilities and there will be plenty of time for networking and connecting with your fellow Retreaters.

Confidentiality

This retreat is a safe space. Everything that is discussed during any of our sessions remains

in strict confidentiality. Unless given permission by another to disclose any information to others

outside this space, everything remains unspoken. This includes photos, please be mindful and confirm with others if you wish to use photos taken on the retreat for socials.

Payments:

All payments must be paid in Pounds Sterling, via online payment upon receipt of the booking link. Please make payment within 2 days of confirming your intention to attend, to secure your place.

Cancellation

Cancellation, once booked is not officially possible, due to the nature of the booking. However, if you’re unable to join us for The Retreat, and you let me know as soon as possible, we’ll aim to transfer your booking to another person (and if you know someone that would like to come in your place, please let me know - otherwise we will re-advertise it, and we've previously had success at reselling tickets, but it does depend on the timings) but if this is not possible, you would still be liable for the full cost of attendance, and full payment will still be due.

Non-Availability of Accommodation:

If the accommodation was unavailable for reasons beyond our control, or if Government advice prohibits the organisation of events, we would look to secure an alternative, matched venue or alternative dates as necessary. If you were unable to make the new date, a refund would be issued.

We shall not be liable for any consequential loss, incidental expenditure, or loss of employment, which you may suffer as a result of the postponement or cancellation of this event caused by means outside our control. If you are unable to attend the event due to personal circumstances, unfortunately a refund or replacement booking will not be possible - but if you are able to find somebody to take your place, we can discuss that as a possibility and you can transfer your place to them. You are still liable for payment and would need to make arrangements with them independently.

Liability:

Heidi Williams Ltd and Champneys do not accept any liability for any damage, loss, or injury to any group member of the party or any vehicles or possessions unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment. You may wish to take out your own insurance policy to cover you against cancellation etc. You can see the venue’s own T&CS here.

Logistics

We’ll be meeting in the “Peacock Room” and will start at 11am on 23rd April

The venue is a Wellness Spa first, and hotel second and some of the timings and logistics reflect this – for example, they don’t serve alcohol outside of meal times and there isn’t a “bar” as such. However, they have indicated that we can order drinks with dinner and that we can use the meeting room provided to us and the beautiful spaces around the meeting room, to have a drink into the evening etc.

Any wine/pre-dinner drinks is not included and would need to be paid separately, but all meals including breakfast, lunches, dinners and morning and afternoon refreshments are included during our time onsite. We are permitted to bring drinks onsite, for evening consumption.

We’ll take our meals in the main restaurant each day.

Use of the spa is included but additional treatments must be booked and paid separately. We’ll provide an agenda, so that you can identify appropriate gaps to be able to book yourself a treatment or exercise class if required. We’ll send you a booking link for treatments and you’ll have an individual reservation number that will allow you to book any “add-ons”. All extras and treatments are payable by yourself.

Damages and Breakages:

Any damage or breach of this agreement will be attributable to the person named in this contract,

and you agree to indemnify Heidi Williams ltd against any such breach or damage. You understand that additional charges may be made if there is significant damage.

Privacy Policy: Any data collected during the course of this booking will be stored on our

computers and filing system. With your permission, we may from time to time contact you about

promotions, offers, and updates. We will share your details with each other but not outside of the Group.

You understand and agree that by making payment (in part or whole) you are agreeing to all terms and conditions stated here and to the terms and conditions of the venue
